Voice dictation for Outlook
Reply to Outlook email by voice instead of typing. DictaFlow inserts your speech into the open message window, new Outlook or classic, so you stay in control of what gets sent.
Windows, Mac, iPhone, iPad and Android. Free plan: 2,000 cloud words per 30-day cycle. Pro: $9/month or $84/year.
How to set it up
- Open a message or reply. Click into the body of a new message, reply or forward. The cursor position decides where the text lands.
- Hold the shortcut and talk. Hold your DictaFlow hotkey, speak your reply, and release. The text is inserted at the cursor.
- Read and edit. Check greetings, names, dates and figures. Edit as you would any typed text, then send.
- Use Typing Mode if pasting is blocked. On managed or virtualized Outlook (for example a Citrix or RDP session), switch to Typing Mode so text is entered as keystrokes instead of clipboard paste.
Tips
- Add client and project names to custom vocabulary once; they carry across Windows, Mac and iPhone.
- For long threads, dictate your answer first and quote the relevant lines afterwards.
- Dictate into the calendar invite description or Teams meeting notes the same way: it works wherever you can type.
What DictaFlow does not do
DictaFlow does not integrate with Outlook's mailbox. It does not open, sort or send messages. On locked-down corporate PCs, check with IT that installing a dictation app is allowed, and test Typing Mode in your actual environment.
How DictaFlow works
DictaFlow is hold-to-talk dictation: hold a shortcut, speak, release, and the text is inserted into the active app at your cursor. It includes custom vocabulary, correction while speaking, and a Typing Mode that enters text as keystrokes for Citrix, RDP and fields where pasting is blocked. Standard dictation uses cloud processing; Pro adds Local Offline dictation on supported devices. See the full product facts and privacy policy.
Frequently asked questions
Does DictaFlow work with the new Outlook and classic Outlook?
DictaFlow inserts text into whichever app has focus, so it works with the desktop and web versions of Outlook where you can place a cursor. Test it once in your own setup.
Can I use it in Outlook through Citrix or Remote Desktop?
DictaFlow has a Typing Mode that simulates keystrokes for Citrix, RDP and similar sessions. Results depend on your remote policy, so test before relying on it.
How much does it cost?
The Free plan has 2,000 cloud words per 30-day cycle. Pro is $9/month or $84/year ($7/month billed annually).
Is this safe for patient email?
Use DictaFlow Medical for anything involving patient information; the consumer app is not the PHI product. See the DictaFlow Medical page.
