Todoist Dictation on Windows: Descriptions and Dates 2026

Use Ramble to capture new tasks. Use a text cursor when you want words in an existing description.

For Todoist dictation on Windows, first choose where you want the speech to go. Ramble turns speech into new tasks. To add prose to an existing task description, open it, click inside the description, and try Windows key + H. Stop listening before you save. Then check the task's date separately. Todoist's own task capture and Windows text entry do different jobs. [1] [2] [3]

By Ryan Shrott, founder of DictaFlow. This Windows 11 setup guide is based on documentation, not hands-on compatibility testing. The supplier example below is fictional. You don't need a paid dictation app if Todoist's own voice capture or Windows voice typing already does what you need.

When Ramble is the better starting point

If you want to add several new tasks by speaking, start with Ramble. Todoist documents a waveform button in Quick Add or the sidebar, as well as an entry in the Windows tray. As you speak, tasks appear in a preview. Review it before confirming. You can add descriptions, projects, labels, priority, and dates. Deadlines and duration are paid features, so Ramble can do more than create bare task titles. [1]

On Windows, Todoist’s current global shortcut is Alt + Shift + R, though older installations may use Alt + Space. Check Settings > Desktop instead of assuming a shortcut from an older tutorial still applies. Ramble can capture tasks from outside the main Todoist window, but it doesn’t enter general text into other apps. [1]

Use that route for a quick inbox sweep when you want to create several independent actions at once. If you're carefully writing a paragraph in a task you've already opened, a text-entry workflow lets you check one field at a time. This guide isn't saying Ramble can't handle descriptions. It separates creating structured tasks from editing prose in a specific field. [1] [2]

Beginner and Pro Legacy accounts get 10 capture sessions per month, shared with Task Capture Assist. Pro and Business accounts get unlimited sessions, though occasional rate limits may apply. Before buying another app because voice capture stopped, check your account’s remaining allowance. [1]

Put the explanation in the description

Create a disposable task with a short title, such as Confirm replacement pump delivery. Open the task view and activate the description editor. Todoist keeps descriptions and comments separate in this view. Put instructions someone should read before starting the work in the description. Use a comment for a later discussion update. [2]

Type a few characters in the description, then delete them. This confirms the cursor is in the text box, not on a selected task row. Press Windows key + H, wait for the listening indicator, and speak one short paragraph. Microsoft requires an internet connection, a working microphone, and a cursor in a text box to use this voice-typing method. It won't work offline. [3]

Use this fictional note: The supplier expects the replacement pump on Friday. Delivery is not confirmed. Ask for the tracking number before booking the installer. Keep the current installation slot tentative. Stop the microphone, read the text, and save using Todoist's editor controls. Reopen the task to check what actually remained in the description.

The word “not” matters. If speech recognition misses it, an uncertain delivery becomes a promise. Check names, quantities, and qualifiers before sharing the task. A paragraph can look clean and still tell a colleague to act too soon. Copy part numbers or order references exactly from the supplier’s message instead of spelling out long codes.

A spoken Friday is not always your task date

Todoist's smart date recognition works in the task name field. In Quick Add, it can highlight a phrase and set it as the scheduled date when you save. That can help with a title like Call supplier tomorrow, but check the date when it’s just part of the subject. For a narrative about an expected delivery, use the description editor instead. [4] [5]

Before saving a dictated title, check for a highlighted date phrase and the date chip it creates. If Todoist interprets ordinary wording as a schedule, click the highlighted phrase to ignore it. Todoist also documents pressing Delete or Backspace right after highlighting. Don’t press either key after moving the cursor, or you may delete text. [4]

If Todoist keeps recognizing dates when you don’t want it to, open your avatar menu and choose Settings, then General. Turn off Smart date recognition and click Update. Todoist says you’ll need to add or change dates and deadlines through the scheduler after turning it off. You’ll give up convenient automatic parsing so you can choose the schedule yourself. [4]

In the pump example, Friday delivery and your follow-up date are two separate facts. You may want to call the supplier sooner. In the task view, open Date and choose the actual day you plan to follow up. Deadline is a separate field, and you need an eligible paid Todoist plan to use it. Don’t rely only on delivery expectations dictated into prose to check your schedule. [2] [5]

Where a system-wide dictation app fits

If you write similar explanations in Todoist, email, and browser forms, consider a separate dictation tool. Paying makes sense if it cuts down on repeated editing or makes it easier to enter text in those fields. If your main job is turning a spoken list into Todoist tasks, Ramble is the more direct route. A general dictation app won’t replace Todoist’s task creation logic. [1]

DictaFlow types into the field where your cursor is, using a hold-to-talk workflow. Its default Windows trigger is Ctrl + Win. Install it, focus the disposable task description, hold the trigger while you speak, then release it. The setup guide explains how to change the shortcut and add vocabulary to Knowledge Base. Add recurring supplier names there, but verify exact identifiers in the finished text. [6] [7]

Cloud transcription is the default. Consumer Pro adds Local Offline on supported Windows PCs after a model download. Cloud AI cleanup and Email mode still send text and relevant editing context online. Native apps are available for Windows, Mac, iPhone, iPad, and Android. Consumer is separate from Medical and isn't for PHI workflows. This article covers ordinary task prose, not clinical documentation. [6]

For direct desktop/web subscriptions, Consumer Pro costs $9/month or $84/year, which works out to $7/month with annual billing. Store prices and existing subscriptions may differ. The Free plan includes 2,000 cloud words per 30-day cycle and access to Knowledge Base. These figures were checked on October 28, 2026, against the product facts page and live pricing endpoint. Try the actual field before subscribing. [6] [8]

If the microphone works but Todoist stays empty

Try dictating the same harmless sentence in Notepad. If that fails too, check the selected microphone, permissions, or listening state first. If it works, return to Todoist and test typing regular text in the description. Note whether the problem happens in the Windows app or a browser, and whether it affects titles, descriptions, or comments. That information is more useful than changing every audio setting.

DictaFlow normally inserts text in Windows by pasting from the clipboard. Optional Typing Mode sends characters instead, and slower fields may need a longer delay. Use the setup guide to test this option in your disposable task. This doesn’t confirm Todoist compatibility. If a field is slow, don’t keep recording. Wait, then check for delayed or duplicate text. [6] [7]

For your first real task, use a short title and speak only the description. Then check the saved paragraph and date chip. Add automation only once that simple path works. If Ramble already captures your tasks accurately, keep using it. If you need the same text-entry shortcut outside Todoist, try DictaFlow’s free setup and compare how much correction the same paragraph needs. [1] [7]
